1. Registering for an Account
- Visit Our Agency Registration Page: Navigate to the registration form and complete all the required fields.
- Complete the Registration Form: Fill out all required fields in the registration form. This will include details about your agency, such as contact information, agency name, and any other relevant fields.
- Submit Required Documents: As part of the registration process, we will contact you with the required documents. This typically includes any legal or operational documents crucial for verification.
- Email Verification & Account Approval:
- Email Verification: After submitting your form, you will receive an email with a verification link. Click this link to confirm your email address. This is a vital step for security and communication.
- Account Approval: Once your email is verified and our team has reviewed your submitted documents, you will receive another email notification regarding the approval status of your account. If any documents are missing or require clarification, we will reach out to you.
2. Account Access
- Once your agency registration is approved, you will be able to use your credentials to log into your SelectiveCareSolutions.com Agency Portal.
- Use this portal to view and modify your upcoming staffing request bookings.
- Please keep your agency profile information up to date to facilitate smooth communication and service delivery.
3. Shift Pool Calendar
- Shift Pool Calendar: A Walkthrough for Agencies
- The Shift Pool Calendar is designed to streamline your staffing requests, allowing you to quickly submit shifts that caregivers can then claim.

- Submitting a Staffing Request
- Access the Calendar: Start by navigating to the Calendar view within the Shift Pool system
- Add a New Shift: To create a new staffing request, simply click the plus sign (+) icon. You’ll u find this at the top of the calendar. This action will open the shift submission form.
- Fill Out the Form: Accurately complete all the required fields in the form. Be sure to include all necessary details for your staffing request, such as the date, time, duration, and any specific requirements for the shift.
- Submit the Request: Once you’ve entered all the details, submit the form. The shift will instantly appear on the calendar, making it visible and available for caregivers to claim.

- You have two main ways to keep an eye on your submitted shifts and their status

- The Calendar provides a clear, visual overview of all your shifts in a calendar format.
- You’ll see basic shift details and status directly on each entry.
- Clicking on any shift on the calendar will open a detailed view, showing all the information you provided. If a caregiver has claimed the shift, their details will also be displayed here.

- The Dashboard offers an alternative, more summarized view of your shifts.
- Like the calendar, it provides essential shift details and their current status.
- Clicking on a shift from the dashboard will also take you to the detailed view, including information about the claimed caregiver if applicable.

- Calendar View:
- You have two main ways to keep an eye on your submitted shifts and their status
- Editing and Deleting Shifts
- Manage from the Dashboard: You can easily edit or delete any of your submitted shifts directly from the Dashboard view. Just locate the shift you wish to modify or remove, and use the provided options (like an edit or delete icon) to make your changes.

- You will receive email notifications when a shift is claimed or if a caregiver has released your shift. If your shift is released it will automatically go back into the shift pool calendar with an “Open” status for other caregivers to claim.

4. Direct Booking Staffing Requests
- Direct Booking: (Ideal for single or recurring staffing needs with shifts of consistent duration)
- Direct booking caregiver staffing requests are to be submitted through the SelectiveCare Solutions Agency Staffing System.
- Book through the Browse Caregivers page.
- This option lets you view caregiver profiles in your area and select a specific caregiver. To do this, click the “Agency Temp Booking” button directly from the Browse Caregivers page.
- If you don’t have a specific caregiver in mind, simply navigate to the Agency Staffing page. Leave the caregiver option blank when submitting your request. The system will then assign an available caregiver.

- Utilize the Recurring Appointment feature to efficiently schedule ongoing staffing requirements, allowing you to set up daily or weekly recurring shifts. Note: For Recurring shifts the length of the shift must be the same for every appointment.

5. Booking Confirmation and Management
- Upon submission, the assigned caregiver will review the request details and either approve or decline the staffing engagement.
- You’ll receive email notifications at each stage of the process: when your request is made, when it’s pending approval, and once it’s confirmed.
- Any modifications or cancellations to your request can be managed directly through your agency portal. Please note that a 24-hour notice is required to avoid cancellation fees.
6. Caregiver Qualifications and Compliance
- All caregivers available through SelectiveCareSolutions.com undergo thorough background screening, credential verification, and ongoing compliance monitoring.
- Your agency is responsible for providing any additional site-specific training or orientation.
- Compliance with state and federal healthcare regulations remains a shared priority.
7. Billing and Payment
- Invoices will be generated based on the agreed service terms and sent via email
- Please review payment schedules and methods outlined in your agency agreement with SelectiveCare Solutions.

- Our dedicated support team is available via email, or phone to assist with staffing needs, technical support, or urgent issues.
- Maintain active communication channels to ensure rapid response and effective resolution of any challenges.

9. Changes and Termination
- Should your agency need to update service requirements or modify account details, please notify SelectiveCare Solutions promptly.
- Termination of services must be carried out in accordance with the terms detailed in your agency agreement.
